Flyer and Payload Packet Guidelines
If you do have a flyer that needs to go into Payload packets, it must be approved by the VP of Communications. Please follow the guidelines below before making any copies.
Flyer Creation
- Before making a flyer to hang up at school or for distribution in Payload packets, you must get approval from the Communications VP
- Create your flyer and be creative! Flyer should be clear and simple to grab the attention of your audience.
- Current PTSA logo must appear on the flyer. You may download the black and white version at: www.mcauliffeptsa.org/logo.htm
- Make all print and graphics grayscale/black and white if you will be photocopying it-color does not copy as clearly.
- Check for correct spelling/grammar/dates
- Send off a copy to the Communications VP at communications@mcauliffeptsa.org for approval.
- When approved, she will send it back to you in .pdf formatas well as an approval form.
- Print the .pdf copy and make copies for the Kiosk (the file cabinet in front of the office), put them in the correct folder (or make a new one if needed) and notify the Kiosk Keeper at kiosk@mcauliffeptsa.org that there is a new flyer available.
- If approved for Payload Packets, follow Payload Guidelines below.
Payload Packet Distribution Procedure
- Please take advantage of Tandem and the McAuliffe Website whenever possible. This saves paper, time, and money and is just better all around.
- Be sure to have your flyer approved by the Communications VP prior to copying.
- Deadline for having your copies made, labeled by class, and into the payload box is Thursday morning at 9:30.
- Payloads go home on Fridays. If there is no school on Friday, then they will go out on Thursday, which means that flyers must be ready to go by Wednesday morning at 9:30.
- Determine whether your information needs to be distributed to every child, or one per family (more likely). Some information might be grade-specific.
- Photocopy your item, using the distribution count sheet that is posted on the bulletin board by the copiers in the office, (and above the copier in B-Pod.)
- If your item is one per family, use the youngest count on the distribution count sheet.
- If it is one per child, use the All count.
- If it is grade-specific, copies need use the All number of students in each class. Since it is not a school-wide distribution, we need to assume the sibling will not be getting a copy. Examples include Staff Appreciation (done by grade), items that go to 6th grade only (Outdoor Ed, Jr High prep, etc.).
- The count includes one copy for the teacher. You must make extra copies, as noted on the bottom of the count sheet. Write "extras" on the top sheet of this stack.
- Paper clip each classroom's stack. Write the teacher's name lightly in pencil on the upper right hand corner of the first copy in the stack. Write youngest or All immediately below the teacher's name.
- Rather than making all 505 copies at once and then counting them out per teacher, it is easier to let the Riso count for you, by making the copies one classroom at a time.
Keep the classroom stacks in the order that they are in on the distribution count sheet (with AM K on the top). - Place the whole stack (including the extras) in the plastic bin labeled Payload Copies on the bookshelf to the left of the door that leads out to Tracey's office.
- Print the approval form and attach it to the top of the pile. Flyers will not go out without the form and paper will have been wasted.
